How it works

  3. 3Convert on our servers. Ghostscript converts the document to PDF/A with embedded fonts, colour output intent and archival metadata.
  4. 4Independent validation. The converted file is checked by the veraPDF validator against the selected profile. The job is only marked complete when validation passes.
  5. 5Download the validated PDF/A. Download your standards-compliant PDF/A file once validation has passed.

Best practices

  • Choose PDF/A-2b for most documents — it preserves more modern PDF features while remaining a genuine archival format.
  • Use PDF/A-1b only when an older archival system requires it; some modern features may be flattened or simplified during conversion.
  • Keep the original PDF as a working copy — the PDF/A output is intended for archiving, not for later editing.
  • Remove password protection before uploading; encrypted PDFs are rejected safely rather than converted.
  • The converted PDF/A may be larger than the original because fonts and resources are embedded for long-term reproduction.
  • Not every PDF can be converted: unsupported fonts, damaged objects or features that PDF/A forbids can cause a clean failure instead of a false success.

What is PDF/A?
PDF/A is an ISO-standardised version of PDF designed for long-term document archiving. It stores fonts and other resources inside the file and follows strict rules so the document can be reproduced faithfully many years later, without depending on the software that created it.
What is the difference between PDF and PDF/A?
A normal PDF may rely on external fonts, unembedded resources, or features that are not guaranteed to render the same way in the future. PDF/A embeds what is needed for reproducible display and forbids features that cannot be archived reliably, such as JavaScript or some forms of encryption. PDF/A is validated against the standard before it is handed to you.
Which PDF/A version should I choose?
PDF/A-2b is the recommended default for most archives. It supports more modern PDF features while still guaranteeing long-term visual reproducibility. Choose PDF/A-1b when you need maximum compatibility with older archival systems - some modern PDF features may be flattened or simplified during conversion.
Is PDF/A-2b better than PDF/A-1b?
PDF/A-2b is generally a better default: it is based on a newer PDF version and preserves more modern document features. PDF/A-1b is an older standard that is still widely supported by archival software, but converting to it may require more simplification of the document.
Will the PDF look different after conversion?
The goal is to preserve the visual appearance: text, fonts, images, page sizes and layout are retained as far as the selected PDF/A level allows. Some advanced features that PDF/A forbids (for example certain transparency effects in PDF/A-1) may be flattened, which can look slightly different in rare cases. The converted file is validated to be a genuine PDF/A before you download it.
Can I convert password-protected PDFs?
No. If a PDF is protected by a password, we cannot read its contents and will not try to bypass the protection. Remove the password protection first, then upload the PDF again.
Does PDF/A preserve links?
Links and annotations are generally preserved where the selected PDF/A level allows them. PDF/A-2b keeps more of these features than PDF/A-1b. The validation step checks that the output meets the PDF/A rules for the profile you selected.
Are fonts embedded automatically?
Yes. PDF/A requires that fonts used for rendering are embedded, and the conversion pipeline embeds the fonts it can find. If a required font cannot be embedded, the file will not be reported as valid PDF/A - the conversion reports a clear failure instead of claiming success.
How do you verify that the converted file is valid PDF/A?
After Ghostscript produces the converted file, an independent standards validator (veraPDF) checks it against the selected PDF/A profile. The job is only marked complete when the validator reports PASS, so you always download a file that has genuinely passed PDF/A validation.
Is PDF to PDF/A free?
Yes. The tool is completely free with no signup required. Processing happens on our own servers - no paid conversion API or third-party online converter is involved.
Are my uploaded files stored permanently?
No. Files are kept only for the retention period described in our data-retention policy, then removed. Temporary processing files are deleted after every job, whether it succeeds or fails.
Will the converted PDF/A be larger than the original?
It may be. PDF/A embeds fonts and other resources that the file needs for long-term reproduction, which can increase the file size. This tool does not promise compression - the goal is a reliable archival document.
